Pacific Edge Customer, Brigham Young University, Wins IT Financial Management Excellence Award for IT Governance

that Brigham Young University (BYU) was named winner of the Best IT Governance
Structure category in the IT Financial Management Excellence Awards. BYU won
the award for its work in establishing and maturing its IT governance structure,
supported by Pacific Edge's PPM software. The award is sponsored by the International
Quality & Productivity
Center.

Like most institutions of higher learning, the role of IT has grown enormously at BYU. IT policies, practices, products, and services potentially affect all aspects of the research, teaching, and administrative process. In an effort to improve the satisfaction of its technology users throughout the university, and align IT expenditures with its values and the values of the LDS Church that sponsors BYU, the university created an IT governance structure that formed the framework for its Enterprise Project Management Office (EPjM). BYU selected Pacific Edge Software to automate its newly defined processes for project portfolio management, resource management and application portfolio management.
With the initial deployment, visibility to the project portfolio yielded immediate results by quickly exposing a large number of low-priority projects that could be eliminated. In addition, the increased visibility into the application portfolio, and its relationship to the projects and services supporting them, enabled IT to work with business stakeholders to set priorities based on clearly defined objectives.
With the time-tracking capabilities built into Pacific Edge's Mariner® software, BYU is now able to capture 100 percent of time spent both on project and non-project work, and measure application cost throughout the application lifecycle - from initial project planning through on-going maintenance and ultimately into retirement.
"BYU's EPjM now supports a variety of university-wide initiatives," said Bill Yaman, vice president of marketing for Pacific Edge. "In addition to BYU's IT organization, EPjM has extended Mariner's use to include project management consulting to BYU sister campuses, the university's cable television and radio networks and the Center for Instructional Design."
BYU reports that the cost of its annual IT budgeting process has been reduced by 84 percent, and annual budget production has been reduced from nine months to six weeks. With direct links to business strategies, projects are systematically prioritized and resources allocated to support them. Projects are now captured throughout the year, so all new and existing projects are already known when the budgeting process starts.
With clearly defined, enforced, and automated processes, much manual effort and management oversight has been eliminated, reducing EPjM costs by 47 percent. These successes have elevated the program's visibility, and now the university's Vice President Council screens IT investment to assure ongoing alignment with the university's business objectives.
